Imagine a hypothetical software company advertising its onboarding service in ChatGPT. The destination shows an authentic customer story about a guided migration. A later service revision removes the guided element, but the story remains beside the booking button. Nothing in the original account is necessarily false. Its new surroundings may still encourage the wrong purchase decision.
This is the maintenance problem: evidence can stay unchanged while the offer it appears to support moves on. A paid click brings someone to the present destination. Keeping that destination credible requires a way to detect changes and carry a decision through to every place the evidence appears.
Give accepted evidence a continuing owner
Begin with the approved wording and supporting record from your destination claim review. This guide concerns what happens after that review. It does not replace the initial decision about whether the evidence supports the claim.
Assign two responsibilities explicitly. The factual owner knows whether the underlying situation has changed. The publishing owner can update the customer-facing material. One person can hold both roles, but an editor should not have to infer a service change from an old brochure.
Record a backup when the owner is away and a handover requirement when the role changes. Give external contributors a contact and a clear request: report changes that affect the accepted statement, with the effective date and replacement information. Responsibility belongs to a person or a maintained role, not an unattended reminder.
Use an expiry date and a change trigger for different jobs
A known expiry can be planned around. A permission period or dated credential needs a review early enough to obtain an answer, prepare replacement copy and update the destination. Choose that lead time according to the work involved, rather than treating a monthly check as a platform requirement.
An event trigger catches changes that do not follow the calendar. Product revisions, withdrawn assets, changed service delivery and a departure from the team can all affect evidence before its next scheduled review. Ask the people making those decisions to include destination owners in the handoff.
For each record, write the specific event that matters. “Tell marketing about changes” is vague. “Notify the destination owner when assisted migration leaves the package” identifies an observable decision. The next review date remains useful for discovering anything the notification process missed.
Decide what can stay visible while facts are checked
Prepare a temporary treatment before a renewal or unresolved change becomes urgent. The response should depend on how much of the customer’s decision rests on the disputed material.

These are recommended decisions for the advertiser’s workflow. They are not automatic outcomes supplied by the ad platform. Keep the owner, due time and next action together so that “waiting for confirmation” cannot silently become permanent permission to use old wording.
Where interruption is needed, OpenAI’s Campaign Management documentation describes campaign pausing in the advertiser API and states that a paused campaign stops its child ads from serving. Check the control and outcome in the workflow your team actually uses. The API reference does not establish the controls in a separate application.
Trace the change instead of editing the most visible page
Return to the hypothetical onboarding service. The factual owner confirms that guided migration is leaving the standard package. The publisher searches the known uses of that evidence: the landing-page story, its English or Swedish counterpart, a shared quotation block and a downloadable overview.
The team then decides whether the old story still helps someone evaluate the current offer. It may belong in a clearly dated project archive, with the difference explained. Do not rewrite the customer’s historical experience to match the new package. Update the way the story is presented, or replace it with evidence that addresses the current decision. If the ad itself promises guided migration, assign that change to the campaign owner as part of the same handoff.
List every affected location and its completion status. A shared component may cover several pages, while a copied PDF needs its own edit. Keep unresolved occurrences visible to the owner; a corrected homepage does not demonstrate that the destination behind the paid ad is correct.

Distinguish old evidence from obsolete evidence
A past project can remain useful when its date and circumstances are clear. Conversely, a recently uploaded certificate or screenshot can already describe the wrong scope. File age is a signal for investigation, not a verdict on usefulness.
Keep separate dates for the event described, the evidence’s validity and the editorial check. Updating a review date should mean someone performed a defined check. It should not make an old customer account look recent or imply that an expired status has been renewed.

Require a customer-facing completion check
Close the task by opening the destination address used by the ad and checking the changed material in context. Review the relevant translations, linked files and repeated summaries. Confirm that the revised explanation still supports an understandable next action, especially where the removed evidence previously carried most of the persuasion.
Save the new supporting record, the decision, its effective date and the locations checked. Retain superseded material internally with a clear status so that a future campaign does not accidentally reuse it as an approved source.
The task is complete when the factual owner has resolved the change and the published journey reflects that resolution. A dismissed calendar alert, an edited draft or a newly dated spreadsheet is only one step toward that result.
