Three colleagues can submit accurate context hints that, together, appear to come from three different businesses. One uses the catalogue’s product name, another uses internal shorthand and the third adopts the campaign’s sales voice. Maintaining the list becomes harder because differences in the offer are mixed with differences between writers.
Copyediting the complete list makes its language consistent. The starting point here is a set of selected, fact-checked use cases. The task is to align terminology, form and tone, then leave a short edit log. This is an editorial working method, not a technique proven to improve ad delivery.

Fix the input for this editing pass
Work on a copy of the approved list. Retain working references for its rows and identify the offer it concerns. That lets you compare the same entries before and after editing without also reconstructing which product version the writers meant.
Our fictional example is a supplier renting folding tables for seminars, registration desks and temporary workshops. The product owner has already confirmed those uses and established that three names used by the writers refer to the same table range. The copyeditor is therefore not selecting new customers or expanding the rental package. The assignment is to apply shared writing choices to the existing descriptions.
Keep unresolved content questions in a separate list. If an entry turns out to have competing meanings, send it to the review of ambiguous hints. Continue with the safe changes elsewhere instead of making interpretation another task inside the copyediting pass.
Give the same thing a shared name
Create a small terminology card for recurring names. In the table example, choose “folding tables” for the product and “rental” for how the customer obtains it. This does not prohibit synonyms everywhere. It makes this particular list easier to compare and maintain.
Record the differences that should remain. A registration desk and a seminar are distinct uses; do not replace them with one generic event label merely to achieve consistency. The terminology card aligns the product name while preserving the situations in which the product is used.
Apply changes using the confirmed equivalences. Avoid a blind replacement across the entire document when the same words appear in source notes or product names that must remain exact. Keep the hint column separate from working comments and references. This confines the edit to the language intended for use.
Choose a form the list can sustain
Decide how rows should normally look: short descriptions, ordinary sentence capitalisation and consistent treatment of final punctuation. For the fictional list, use “Folding table rental for …” because all three rows concern rental. This is a local writing choice, not a platform requirement.

The uses are now easier to compare without shifts in capitalisation, invitations and product terminology distracting from them. That does not mean every future entry must be forced into precisely the same sentence pattern. A meaningful difference in the offer may require a different form.
Also agree how recurring measurements or quantities should appear when they are part of the approved material. Change their presentation, never their value. A copyediting pass must not round a product dimension simply to make the rows look more uniform. Put that limit on the style note if several editors are working on the list.
Remove the sales voice across the collection
Review all rows for repeated campaign expressions such as “discover,” “our clever” and exclamation marks. Treat these as a shared tone decision. In the fictional list they can be removed because they contribute no information needed by the approved use case.
Retain factual conditions affecting the offer even when they sound promotional. An actual rental condition should not disappear alongside sales language. Distinguish evaluative praise from information the buyer needs to understand what is available.
It is easy to introduce another sales voice while removing the first. “Our clever tables” need not become “professional table solutions.” The approved product name is sufficient for this pass. Factual tone reduces added judgement instead of dressing it in more formal language. Apply the decision consistently so the last contributor’s entries do not remain noticeably more promotional than the others.
Inspect the list as a collection
Read recurring terms and openings vertically after editing. Does the same product have the same name on every relevant row? Does any campaign invitation remain? Has a row accidentally lost a condition during replacement of a recurring expression?
Then compare the row count and working references with the original. Copyediting does not require adding or removing use cases. If two rows now look identical because their synonyms have been normalised, mark them for the review of duplicate hint meanings. Do not merge them as an undocumented side effect of language cleanup.
Preserve only the writing decisions the next contributor needs to continue consistently. A short terminology card and a few conventions will often suffice. A large style manual for three straightforward product descriptions creates more maintenance work than it resolves. The list should be easier to update after this pass, not dependent on interpreting an elaborate editorial rulebook.
