A subject expert can approve a hint list and still miss the issue that matters to a campaign. The expert may read the list as a description of everything the company can provide. The campaign writer may intend it to describe one entry package. An enthusiastic “looks good” does not resolve that difference.

A useful review handoff tells the expert exactly what to decide. For ChatGPT ads, the task is to verify whether the proposed uses and needs fit the advertised offer. The reviewer needs enough commercial context to recognise an overstatement, plus a simple way to return a decision that the writer can apply.

Define the review before sending the draft

Explain the role of the text in one sentence. OpenAI treats context hints as additional information about an offering, rather than exact keywords or guaranteed ad triggers. The expert is reviewing that information, not predicting delivery. OpenAI’s targeting guidance.

Then name the product, package and version. “Please check these uses for the current Starter service” is more useful than “Please approve our targeting.” The first request bounds the factual task. The second can sound as though the reviewer is responsible for every setting, platform rule and potential audience outcome.

Keep marketing preferences outside the factual decision where possible. An engineer may dislike an informal phrase without finding it inaccurate. A campaign writer may prefer a vivid phrase that obscures a real limitation. Record these as different kinds of feedback so a stylistic debate cannot conceal an unresolved product question.

Give the expert a packet they can finish

Include the proposed hints, the associated ad drafts, the intended destination and the source material behind disputed details. Point to the relevant specification section rather than attaching a large folder and expecting the reviewer to discover the question.

Assign a short reference to each hint and date the draft. If two packages have similar names, put the full package name at the top of every review sheet. A busy expert should not need to infer scope from a file name or remember what was said in a meeting several days earlier.

Before involving the expert, use the hint evidence review to gather the available support. Reserve expert attention for interpretation, uncertainty and specialised knowledge. Asking someone to find information that the campaign team already has makes the process slower without improving the decision.

Work through a fictional equipment example

Imagine a fictional supplier advertising a bench-mounted label printer. A draft hint describes “printing durable labels for outdoor equipment”. The marketing writer has seen the word durable on the product page. The product specialist knows that outdoor durability depends on a particular label material that is sold separately.

The review question is not whether outdoor equipment is a promising market. It is: “Does the advertised printer package include the materials needed for outdoor labels, and what condition must our description preserve?” This asks the expert to resolve a fact that changes the meaning of the hint.

A useful answer might say that the printer supports the material, but the standard bundle does not include it. The expert can recommend either narrowing the use description to the supplied media or explicitly identifying the compatible material requirement. The campaign owner then decides which offer to advertise. The expert does not have to make that commercial choice.

Keep the reason beside the revision. A note that merely says “change outdoor” loses the underlying restriction. A note explaining the difference between printer capability and included supplies remains useful when another writer later shortens the draft.

Request a decision, a reason and any condition

Three outcomes are sufficient for a small review: retain, revise or investigate. Retain confirms the meaning for the stated offer. Revise identifies a factual mismatch and the condition a replacement must preserve. Investigate identifies a question the reviewer cannot yet answer and the evidence needed to settle it.

Do not require the expert to produce polished copy. A precise sentence about supported materials may be awkward in marketing prose and still be the most valuable contribution. The writer can improve the language after the factual boundary is clear, provided that the revision preserves it.

For unresolved points, assign a named owner in the working document and specify the next source. “Check with product” is difficult to close. “Product operations to confirm the contents of bundle B using the current packing list” gives the next person an observable task. This is a suggested editorial workflow, not a platform requirement.

Resolve conflicting replies by returning to scope

Conflicting expert answers often refer to different versions of reality. Sales may describe a custom configuration that is available on request. Operations may describe the standard shipped bundle. Both can be correct, while only one answers the campaign’s question.

Record the difference explicitly. Ask the owner of the offer to choose which package the campaign describes. If the scope itself is still unclear, use the service scope review to frame that decision before debating individual words.

Avoid asking several reviewers to vote on a technical restriction. Instead, route each question to the person accountable for that fact. The campaign owner can decide whether a restrictive but accurate description remains commercially useful. Removing an inconvenient restriction is not a substitute for that decision.

Close the version, then check the visible promise

Return the revised hint beside the expert’s original comment. If the meaning has changed beyond the agreed correction, send that specific point back for review. If only sentence order has changed, the writer can check that the accepted condition remains intact.

Save the final wording, review date and decision record together. Approval of an earlier draft does not automatically cover a later, broader description. Expert sign-off also does not establish platform approval or future delivery.
