“Asynchronous, version-bound annotation for PDF” might accurately describe a review tool. It still tells a project manager relatively little about collecting colleagues’ comments on a drawing. “Collaborate without limits” is easier to read but loses nearly all useful precision. Between those extremes lies a specific writing task.

Explaining technical features in ChatGPT ads means changing the expression without changing the meaning. The ad should make a capability understandable while preserving what determines when it works. The examples in this guide concern fictional products that could be advertised on ChatGPT. They do not describe additional features of the advertising platform.

Unpack the feature before simplifying it

Start with a checked product source. Write down who can do something, the action available, the object of that action and the necessary conditions. For the fictional review tool, this could become: authorised reviewers leave comments on a selected PDF version at different times.

That sentence is working material. It does not need to fit the ad yet. Its purpose is to expose the technical meaning before anyone starts shortening it. Otherwise, a prerequisite can easily disappear because it looks like inconvenient jargon.

“Version-bound” means the comment belongs to a particular version in this example. The term may be unfamiliar, but the distinction matters. If the ad says only “All comments follow your work”, a reader might expect comments to transfer automatically when the document changes. The fictional tool’s described capability does not establish that promise.

Compare the alternatives

The fictional review tool has one capability. The wording preserves different amounts of its meaning.

Make the customer’s action the centre of the sentence

Look for a verb the customer understands and a thing it acts on. Leave comments on a drawing. Export a table as CSV. Choose which colleagues can view a folder. These descriptions help a reader imagine using the product without promising a finished business outcome.

Inspect the verbs closely. “Collect” does not mean “summarise”. “View” does not mean “approve”. “Export” does not automatically mean the next program can read the file without adjustment. A simpler word can be wrong even when the sentence sounds natural.

Use the customer vocabulary glossary to find names people actually use for the task. The glossary helps you choose language. Product evidence still determines what you can say the tool does. A customer’s desired result cannot, by itself, establish a feature description.

The final column shows how a translation can become a new promise. A folder permission does not necessarily prevent every form of further sharing. A file format does not guarantee every integration. When the simpler wording becomes broader than the feature, narrow the wording rather than merely adding a cautious adjective.

Keep a term when it helps the customer choose

Plain language does not require every technical term to disappear. PDF and CSV may matter because they identify what the customer can work with. A reader who needs a different format receives useful information immediately. A general phrase about “your files” could instead create an impression of broad compatibility.

A technical term therefore needs to earn its place. Keep it when it distinguishes relevant use from a situation the offer cannot serve. Explain it when its meaning might otherwise be lost. Remove it when it only describes internal construction that does not affect the customer’s current decision.

This assumes you have already chosen what prior knowledge the ad can rely on. If that choice is missing, start with language for different knowledge levels. The exercise here then concerns translating a particular feature, holding the reader and the offer constant throughout the edit.

Check the meaning back against the source

Give the simpler sentence to a colleague who knows the product without showing the original technical draft. Ask them to describe the capability it promises and the uses it seems to cover. Then compare that account with the product evidence.

If the colleague describes a broader capability, something has been added. If an essential condition disappears, something has been removed. Record the specific difference. Feedback such as “too salesy” or “too technical” is difficult to act on. “The text implies automatic transfer to new versions” identifies a concrete repair.

Next, review the statement using the ad claim evidence matrix. Pay particular attention to “automatically”, “all” and “immediately”. They can change the feature’s scope even when the rest of the sentence sounds restrained. A familiar word can carry a larger claim than an unfamiliar technical noun.

Place the clearest sentence into the ad

For the review tool, one possible direction is “Collect comments on your PDF” with “Let authorised reviewers comment on the same PDF version at different times.” The pairing names both the action and a relevant condition. It does not promise faster decisions or error-free source material.

OpenAI describes ad text, images and previews in its campaign management documentation. Inspect the assembled ad so that the image does not imply a broader capability than the wording.

Further product context can inform hints. OpenAI’s targeting documentation describes them as supplementary context rather than exact-match keywords. They do not replace an important condition in visible copy.

Keep the original technical fact beside the chosen wording and record which meaning must survive the next edit. Plain language then becomes a translation of the offer that someone can check, rather than a competition to remove the greatest number of technical words.
