The campaign report shows 38 conversions while the CRM contains 104 new records. That difference is an investigation prompt, not proof that ChatGPT advertising tracking failed. The two systems may count different objects, include different acquisition channels and assign activity to different dates.

Reconciliation should explain the gap in a way that supports a decision. It should not force two totals to match by deleting inconvenient records or relabeling every new contact as an ad conversion. Start with each system’s definition, then construct a bridge between comparable populations.

Name the object being counted

A form submission is an action. A contact is a person or organization record. An opportunity is a sales process. A qualified lead is a status assigned under business rules. One person can submit twice, several contacts can belong to one opportunity and a form can fail CRM validation.

Write one sentence defining the campaign event and another defining the CRM count. For example, the event could represent a completed enquiry submission, while the CRM total represents newly created contacts after duplicate merging. These sentences often explain why exact equality was never a reasonable expectation.

Check the actual event definition and campaign configuration rather than relying on a dashboard label. The CRM bridge proposed here is an advertiser’s internal analysis, not a documented automatic CRM synchronization feature.

Align time and population before joining anything

Choose a fixed report interval, timezone and extraction timestamp. Record whether the campaign report uses ad-interaction time or conversion time, then choose the CRM date that answers the comparison. Contact creation, enquiry submission and qualification can occur on different days.

Restrict the CRM population carefully. All new contacts include referrals, direct visits, other advertising and manually entered records. Comparing that total with one ChatGPT campaign’s attributed events is useful only when the report explicitly treats the campaign as a subset rather than the source of every contact.

Also separate new and returning prospects. A returning contact’s new enquiry may create an event without creating a new contact record. Conversely, importing old contacts can create new CRM rows without corresponding new website activity. Preserve these categories instead of assigning both to an unexplained residual.

Build the bridge using observable transitions

In a hypothetical example, the website records 120 completed submissions. CRM rules merge 10 repeat submissions into existing contacts and reject 6 invalid records, leaving 104 new contacts. This explains the website-to-CRM difference. It does not yet explain why the ad platform attributes 38 actions.

The attribution comparison requires its own scope: eligible interactions, selected windows, campaign goal configuration and the available matching evidence. Do not subtract the 38 from 104 and label the remaining 66 as lost conversions. They may include legitimate outcomes from other sources, repeated contacts and actions outside the chosen reporting definition.

Use stable internal submission or order identifiers where your systems lawfully retain them. If only aggregate platform reporting is available, keep the reconciliation aggregate. Do not invent a person-level match or assume an exported campaign total exposes the underlying identities.

Classify differences before fixing them

Useful categories include duplicate handling, validation rejection, date displacement, returning contact, missing internal linkage and attribution-scope difference. Each category should have an evidence source and an owner. A bucket named other is acceptable temporarily, but its size and unresolved meaning should remain visible.

Inspect a small authorized sample from the largest unexplained category. A technical defect may appear as missing submission IDs after a form update. An operational defect may appear as a sales workflow that creates contacts days after the enquiry. The remedy depends on which transition actually failed.

When duplicate actions are suspected, follow event deduplication diagnosis. When records are present but not yet qualified, use lead qualification lag. These investigations answer different questions and should not be collapsed into one tracking-health score.

Publish a reconciliation with a tolerable unknown

The final table should show both original totals, their definitions, explained categories and unresolved difference. Avoid displaying a percentage match without stating its denominator. A match rate against all CRM contacts means something different from a match rate among website submissions with an internal reference.

If multiple advertising platforms claim the same outcome, the CRM may still contain only one opportunity. Follow the cross-channel overlap guide before summing attributed totals. Reconciliation describes how records relate; it does not establish which channel caused the opportunity.

Set a follow-up action for unresolved differences that could change a budget decision. Retain the extraction versions so a later CRM status update does not erase the original comparison. A useful close is not a cosmetically perfect match. It is an explained, repeatable relationship between campaign activity and the business records used to judge whether those enquiries are valuable.
