Before starting a test with ads in ChatGPT, a business needs to know which cash can actually fund the test while it runs. An advertising budget of SEK 10,000 does not by itself establish the required cash reserve. Customers may pay later, fulfillment may require an early payment and commissioned production may be invoiced after advertising is paused.
Size the reserve around the order of payments. The question is how large the temporary shortfall becomes before expected receipts arrive. The method below is an editorial planning model for a bounded advertising test. Every amount is hypothetical and describes neither OpenAI prices nor account payment terms or real campaign results.
Separate test funding from other operating commitments
First establish what remains available after planned payroll, supplier payments and other business requirements. A bank balance is not automatically an advertising allowance. The same money should not be counted as both the test reserve and coverage for an unrelated obligation.
Then list the test’s payments. Beyond media, these might include commissioned creative, external measurement implementation and payments required to fulfill orders generated during the test. Include items within the stated scope, and retain obligations already created even when their payment date falls later.
This is a cash schedule. Use actual payment amounts and dates, including relevant VAT and tax movements when they affect cash. An expense excluding tax in a contribution worksheet cannot automatically replace the amount leaving the bank. The simplified example below assumes no additional tax flows within the displayed period.
Treat the campaign budget as an advertising control
OpenAI Bidding & Budgets documents budgets and bidding. Their role must remain separate from the company’s payment calendar. Check the actual invoicing and payment arrangements for your account; do not assume advertising cost is paid on the day it is incurred.
Use three columns if helpful: planned delivery, incurred cost and expected cash payment. The dates may be close together, but they need not be identical. An internal reserve figure is not a platform setting that automatically aligns these three records.
Follow a hypothetical test through four weeks
Assume all amounts below are SEK payments and each week’s expected customer receipts arrive before that week’s listed outflows. This ordering matters because weekly totals can otherwise hide a larger daily shortfall. Start the schedule at zero to show the funding required before adding a reserve.
In week one, the business pays SEK 3,000 for advertising and SEK 2,000 for test setup. No customer cash arrives. Net flow is negative SEK 5,000, creating a cumulative shortfall of SEK 5,000.
In week two, SEK 2,000 arrives. Payments are SEK 3,000 for advertising and SEK 4,000 for fulfillment. The week’s net flow is negative SEK 5,000. Cumulative shortfall reaches SEK 10,000, the largest funding requirement in the base schedule.
In week three, SEK 8,000 arrives while advertising and fulfillment require SEK 3,000 and SEK 2,000. Net flow is positive SEK 3,000, reducing the shortfall to SEK 7,000. In week four, SEK 10,000 arrives and SEK 2,000 is paid, split equally between advertising and fulfillment. Cumulative net flow finishes at positive SEK 1,000.
Total receipts are SEK 20,000 and total payments are SEK 19,000. A positive ending balance does not eliminate the SEK 10,000 required during week two. The reserve depends on the path through the period, not just the final total. That cash total is also not a calculation of accounting profit.
Put uncertainty into the payment that causes it
Move the SEK 2,000 receipt expected in week two into week three. The week-two shortfall now reaches SEK 12,000. Cash improves when the delayed receipt arrives, but the funding requirement has already increased. This scenario supports SEK 2,000 more than the base plan without an arbitrary percentage buffer.
Also consider no customer receipts arriving within the period. If every listed payment remains committed, SEK 19,000 is required. This is a separate scenario. Do not automatically add SEK 19,000 to the SEK 12,000 reserve, because the figures describe alternative payment paths.
Expected sales are not certain funding. Decide which uncertainty the business can absorb and which scenario is actually financed. If the relevant scenario is too large, the test may need a smaller scope, a different start date or fewer simultaneous commitments. A higher desired ROAS cannot make customer money arrive sooner.
Document what would change a forecast receipt into confirmed available cash. A submitted lead, a signed order and a settled payment are different stages. Keep the distinction visible when someone updates the sheet from a campaign report or sales forecast rather than a bank record.
Size the test reserve from the payment schedule
- Base schedule: SEK 10,000
The largest cumulative shortfall occurs in week two.
- Late receipt: SEK 12,000
An expected SEK 2,000 receipt moves from week two to week three.
- No receipts: SEK 19,000
If all listed payments remain committed, the full amount is needed before new cash arrives.
- Decision before launch
Choose the funded scenario, stopping point and owner of payment monitoring.
Plan for obligations after a pause
OpenAI Campaign Management states that pausing a campaign stops its child ads from serving. It does not cancel supplier contracts, previously incurred media cost or later customer refunds. Include a stopping point and a separate list of payments that remain due afterward.
Set the schedule’s end according to relevant obligations, not only the last advertising day. If returns or late invoices can still affect cash, extend the schedule or retain a specifically justified remaining reserve. Assign an owner to reconcile payments and update differences before the next spending decision.
Use acquisition payback to follow when a customer cohort recovers its cost, and break-even CPA to assess what an order can economically absorb. The cash reserve complements those measures by showing how the test can be funded while its payments are still in transit.
