Ending an agency engagement does not automatically answer what happens to the client’s active ChatGPT campaigns. They might continue under another operator, pause under an agreed decision or remain in preparation while the client chooses a next step. The closeout needs to state which situation applies.

Treat offboarding as a transfer of defined responsibilities and materials. A goodbye message and a folder link can accompany it, but they are not evidence that someone owns the next campaign check or that scheduled agency workflows have stopped. The useful output is a closeout record that both sides can understand.

Agree the operating boundary

Record the date and time when the agency’s day-to-day responsibility ends, including the time zone. Identify the person or team responsible after that point. If there is a transition period, state which tasks each party handles and where changes will be recorded.

Obtain an explicit decision about the intended campaign state. Do not infer that the client wants campaigns paused merely because the contract is ending, or that continued activity is acceptable because nobody requested a pause. The responsible client decision-maker should confirm the plan through the established working relationship.

Separate that decision from its execution. The closeout should record what was requested, what the authorized operator did and what was verified afterwards. A scheduled task or a proposed status change is not proof of the resulting account state.

Where another operator will continue the work, use an active campaign handover. Include the next check and unresolved decisions. Where the work will stop, identify any remaining dependencies that need attention, such as a destination offer that should no longer be promoted under the former plan.

Deliver usable materials with an inventory

List the materials that belong in the agreed handover: campaign references, approved creative, destination information, reporting definitions, relevant decision records and the current operating note. The precise set depends on the engagement and ownership arrangements. Do not promise to transfer assets the agency does not have the right to provide.

Make the inventory usable without the outgoing analyst. Explain filenames, versions and the relationship between an exported report and its source period. A folder containing ten similarly named workbooks can technically contain the requested information while still being difficult to use responsibly.

Identify any limitations. A historical export may cover only certain dates or dimensions. An image license may need separate handling under the applicable agreement. A draft may never have been approved for publication. Labels should preserve these distinctions so the incoming team does not mistake every stored item for a current approved asset.

Ask the receiving person to confirm that the agreed materials can be opened and understood. This is different from asking whether they received the email. A missing file, inaccessible link or undocumented format should become a specific follow-up item with an owner and a due point.

Close reporting with a stated scope

Define what the final report covers and when its observations were retrieved. If recent data may still be updated under the source’s reporting behavior, distinguish the report’s delivery date from the maturity of its contents. Do not label a figure final merely because the agency’s engagement has ended.

Agree who handles later reconciliation if it is part of the closing work. The arrangement might call for a later update, or it might transfer that task to the client’s incoming operator. Either way, the report should show its known scope and any outstanding checks.

Keep the account and campaign identifiers in the historical record. A future name change should not sever the connection to the delivered results. Use the report archive guide to describe what the retained files can answer, without inventing detail that was never captured.

Review the connections that can outlive the engagement

Inventory agency-operated reporting jobs, shared dashboards, delivery subscriptions and integrations that relate to the client. Decide which must stop, which remain for an agreed purpose and which need a new owner. Stopping one scheduled export does not prove that every connected workflow has been addressed.

Handle credentials through the organization’s established access process. Do not put keys into the closeout document. Where an integration or permission is removed or changed, verify the actual result and document any dependency that still requires another party’s action.

Review report-file permissions separately from account access. A former team member may lose access to the advertising account while retaining a shared export link. The report access review follows those additional routes. Decisions about retained records should follow the relevant organizational policy and agreements rather than an invented universal deletion schedule.

Finish with a short exception list. Every unfinished item needs an owner, next action and clear reason it remains open. The engagement is not operationally tidy just because a checklist has been marked complete. It is clear when the client knows what continues, what has ended and who handles the remaining work. Use current campaign-management and reporting documentation when verifying platform-specific steps.
